AFFI Honor Guard IAFF Fallen Firefighter Memorial Group Representative Guidelines & Responsibilities


You MUST be present at the unit meeting of the IAFF Honor Guard on the Thursday evening before the memorial.  It is YOUR responsibility to gather the information on time and location of the meeting.  The information is usually available from the accompanying Group Commander, State Commander or Deputy State Commanders, two weeks prior to the memorial.


You MUST attend all practices and take part in some aspect of the ceremony.  Practices usually begin at 0900 hours on Friday and continue in the afternoon if needed.  A final walk through is usually performed at 0900 hours the morning of the ceremony (Saturday).


 You MUST get an AFFI travel voucher from the District or Deputy Commander accompanying the group to Colorado Springs, fill it out, attach all needed receipt copies, and return it to said Group Commander, preferably before leaving Colorado Springs to head home.  If the information does not reach the Commander within 30 days after the memorial, reimbursement WILL NOT be issued.  No partial reimbursements or incomplete vouchers will be honored.


You MUST arrange your own transportation to the memorial.  If you choose to drive you will be reimbursed 50% of the average airfare from Illinois (usually O’Hare or Lambert) to Colorado Springs.  If you fly, you need to retain a copy of your receipt for your ticket to be attached to your travel voucher.


You MUST arrange your own boarding.  The hotels that we normally use are the Double Tree World Arena, the La Quinta, and the Roadway Inn, all located in Colorado Springs.  You must have reservations established NO LATER THAN 90 DAYS BEFORE THE EVENT.   Retain a copy of your hotel receipt to be attached to your travel voucher.  You will be reimbursed 50% of your boarding costs (meals are NOT included).  You must contact your Group Commander when you have reservations in hand.  If he/she doesn’t hear from you before the 90-day benchmark, you will be removed from the list and an alternate shall be notified that they may attend.


The “chosen twelve” are the official representatives for the Associated Firefighters of Illinois during the entire memorial weekend.  You are expected to be on your best behavior and not bring reproach against the AFFI Honor Guard or your brothers and sisters within the unit.  Be prepared to perform any and all duties that are assigned to you.  This means being proficient in drill and ceremony practices, being well groomed, in full uniform, and in the proper state of mind.

SATURDAY, SEPT. 15, 2018

    The information in this guide is designed to be helpful to those attending the IAFF Memorial.  There may be some information in this gide that has changed since its printing.  The intent of this guide was to help familiarize those that have never attended this memorial.  Please share this guide with other AFFI members, as they may have questions too.  We hope it will help you during your journey here.  Also, the IAFF Website has information and time schedules for the 2018 Event:   Thank you for coming.

    What do I do first?
    First thing you need to do is clear your calendar!  You need to be at the host hotel in Colorado Springs no later than 4pm local time.  So, make sure your shifts are covered for at least Thursday thru Sunday.

    Book your flight!

    If you are one of the members chosen to represent the AFFI Honor Guard by having your name drawn at the Convention, you will receive a check for the standard reimbursement of hotel and airfaire based on average costs determined by the AFFI Office.  Other expenses such as checked bags, parking, cab fare, car rental are not covered.  Make sure to look at different airlines and airports.  Typical flying into Denver will be a better deal than flying into Colorado Springs.

    Book your room!

    You can go to the IAFF web site and find a list of hotels and car rental in that area.  There are discounts for Airlines also.  Again, if you are one of the members chosen to represent the AFFI Honor Guard by having your name drawn at the Convention.


    Individuals planning to attend the memorial (families, IAFF Memers, Honor Guard/Pipe & Drum, etc.) must register online beginning June 1, 2018 through September 1, 2018.  To assist us in planning, local union members (whether honor guard members or not) who will be presenting the memorial IAFF Flag to family members during the ceremony, must also register on the main registeration site.  If you do not have access to a computer or need assistance, call the memorial staff at (202)824-8639.  Note: Before registering online, please make sure to make your hotel/travel accomadations.

Please make sure to check in at the Registeration Desk at the Hotel Elegante upon your arrival to receive your credentials and itinerary of events.

Ok! So what to bring?

    Make sure to bring everything you would take with you while traveling.  Make sure to have your uniform ready.  Clean, pressed with buttons all in place, badges centered.  Shoes polished and your gloves fresh and white.

    For the day of rehersal, you will need to bring something to drink and a lunch if you wish, even though there is a vendor at the ceremony site.  Wear sunscreen too!  Pack comfortable clothing for rehersal and then casual for the evening events if you should join them.  CHECK the weather channel before leaving.  Temps in the mountains can very greatly day/night.  Pack accordingly, especially if you plan on any extracurricluar activities at higher elevations when not at practice or the event.

    Where are the Illinois people at?

    The AFFI Honor Guard has purchased a tent with the AFFI Honor Guard Emblem on it.  It will be set up at the practice site.

    For night time activities, we suggest that you talk to some of the people that are going with you, or people who have been here before.  We have included the names and contact information of the Illinois Commander, the 10 members that we selected to go to represent the AFFI, and those that attend on their own money and have stepped up to help you have all the information that you need while here in Colorado.

    So what's going on?  How are the days planned out?

    You will be given a schedule and you can find one on the IAFF website.  However, here is a quick overview of the days:
    Thursday: Check in at host hotel, get your credentials, go to the mandatory meeting at 4pm
    Friday: Practice, Practice, Practice! Oh and you will be practicing, so you better pack a lunch!  Make sure your uniform is ready!
    Saturday: Ceremony!  Be ready!  Be prompt!  Know your role!
    Sunday: Get your vouchers to the Illinois Commander (Not necessarily the State Commander Jeff Bruno) this is the only way you will get reimbursed.
